Description

Aspire People are looking for an experienced school receptionist/administrator to work in one of our high schools in Warwick.

Job Details are as follows:
*Being the first in line when welcoming parents and visitors at the front door and dealing with their enquiries (including taking items of property in that girls have left at home and completing the appropriate paperwork)
*Being the first in line when answering the telephone, responding to enquiries, transferring calls and/or taking messages where appropriate in a courteous and helpful manner
*Being the first in line in using the “iSAMS” database to carry out the (twice) daily electronic registration process. Ensuring that all unauthorised absences are followed up in a timely manner
*Dealing with girls and staff and their enquiries
*Updating the office whiteboards on a daily basis with staff absences, visitors, meetings and any other information relevant to the smooth running of the office
*Using a two-way radio to liaise with staff members over routine maintenance, deliveries and destinations
*Using databases, spreadsheets, email, word processing to record and process information
*Working as part of the school admin team in the collation and distribution of mailings
*Maintaining the form register folders, emptying them on a daily basis and adding documents for distribution into them
*Maintaining various signing in and out sheets (visitors/girls/staff/Warwick School boys/sick room)
*Maintaining accurate records of staff and pupil absence and reporting it as appropriate
*Understanding and using the “iSAMS” database to satisfy enquiries from staff and pupils (training will be given)
*Operating the electronic door access system (after appropriate training) which includes the issuing and cancelling of fobs. Carrying out termly fob checks across the school
*Being prepared to be the main school First Aider in the absence of the school Matron. Training will be provided if required (4 day course at local college)
*Updating the “Thoughts Board” on a weekly basis
*Sending out Commendation Cards
*Filing e.g. absence documentation, letters, reports, records of conversations
*General photocopying as required for girls and staff
*Compiling Teachers’ packs annually
*Checking, copying and distributing the weekly menu
*Checking, copying and distributing trip packs
*Typing for various colleagues as necessary e.g. letters and forms
*Taking minutes at meetings in the absence of the Administration Manager
*Franking and posting outgoing mail on a daily basis. Reporting franking machine faults to the supplier, liaising with them and maintaining franking machine toner and credit as necessary
*Attending training courses as required
*Fulfilling any other duties and responsibilities which fall within the range of the salary grade

Hours: 37 hours per week
Salary: Starts from GBP16,530
Staff lunches are provided free of charge
